Administrative Assistant to the Deputy Director-Conflict Checks (Full-time)

Bay Area Legal Services is seeking to fill a full-time position for the Assistant to the Deputy Director-Conflict Checks.

Providing support to the Deputy Director’s office, this is a unique, advanced-level administrative position with duties related to legal work involving conflict of interest law together with extensive use of various computer software and legal information systems. This position requires excellent organizational, communication and problem-solving skills. Work involves an exceptionally high degree of initiative and independence in carrying out assigned duties. Involves a high-level of communication in working with cross-functional groups, within the Deputy Director’s office, and directly with clients.

Illustrative Duties

  • All duties required of the Assistant to the Deputy Director (position back up)
  • Perform preliminary workups of conflict checks submitted from all legal teams; preliminary determinations as needed and/or as obvious
  • Process referrals of conflicting applicants to the appropriate offices and client appeals for the Deputy Director’s review
  • Compose, prepare and facilitate conflicts procedure training classes
  • Prepare the weekly Conflicts Report for the Deputy Director & Prepare the monthly Conflicts Reconciliation Report for the Deputy Director, the CEO, and the CTI team
  • Provide support for internal staff members regarding conflict procedures, acting as internal advisor. Continually mentor staff members on all levels on correct conflicts procedures. Communicate proper processes and appropriate actions to correct errors.
  • Attend weekly staff meetings, required training meetings, other meetings as required for sharing of department information and communication of various procedure updates or ongoing issues
  • Grant Reporting – Gather & Supply grant data for reporting as required by the grantor. (i.e. LSC, or VOCA information quarterly reports, etc.)
  • Various other Admin support duties – copies, maintain files, phones, fax, etc.
  • Perform other duties as designated by supervisor

Minimum Qualifications

  • High School Diploma or Equivalent Certificate of Completion (GED) with 3 years of experience as administrative assistant and 1 of these years in a Legal Administrative Assistant or Legal Administrative Support position
  • Excellent written and verbal communications skills, very detailed and deadline-oriented
  • Training experience
  • Ability to work well and communicate well with others
  • Ability to do legal research and document in writing
  • Ability to use online resources as needed
  • Ability to understand and follow complex oral and written instructions
  • Ability to concentrate for long periods of time amid distractions
  • Knowledge of legal processes, documents, and terminology, experience with Legal Case Management systems
  • Intermediate-level skills in Microsoft Office – specifically Excel & Outlook
  • Ability to work responsibly and independently, being a contributing team member, and comfortable with case management and organizing files and data
  • Ability and willingness to work in close contact with staff on legal problems of client and to accept supervision and instruction
  • Sympathetic and compassionate understanding of the social, economic and legal issues faced by low-income individuals with limited access to such services. Ability to relate well and effectively with diverse groups and individuals.

Desirable Qualifications

  • Experience with nonprofit organization a plus, knowledge of The Florida Bar requirements as to conflict of interest
  • Paralegal degree or certificate

  • Depends upon experience, excellent benefits, and mileage reimbursement for travel
