IT Administrator

Bay Area Legal Services seeks to fill a full-time IT Administrator position.

The Systems Administrator is responsible for managing the development, implementation, and ongoing use of technology systems within the organization. This role encompasses a broad range of activities related to information systems and telecommunications, including understanding and determining user needs, system deployment, and the maintenance, upgrade, and support of IT systems. These systems include servers, personal computers (PCs), operating systems, telephones, software applications, and cloud-based platforms. The Systems Administrator will also ensure the integrity and security of all technology systems, supporting both end-user needs and the protection of client information. This position plays a key role in integrating new technologies and aligning IT strategies with business goals in collaboration with the IT Director. As a technical resource, the Systems Administrator will provide guidance, training, and support on a variety of projects.  The Systems Administrator will support all staff who are facilitating or directly providing legal services to low income clients.

Illustrative Duties:

Systems Implementation and Upgrades

  • Serve as the subject matter expert (SME) for all technology system upgrades, installations, conversions, and file maintenance.
  • Perform systems development and enhancements, ensuring new systems integrate seamlessly with existing infrastructure.
  • Keep current on the latest technologies and assist in identifying and implementing new technology solutions to meet evolving business needs.
  • Engage in development activities and participate in training to support user needs, office expansions, and the adoption of new technologies.

Training and Operational Policies & Procedures

  • Assist in the development and implementation of standard operating procedures (SOPs) and best practices for IT systems and services.
  • Create and maintain written protocols and guidance for end-users on the proper use of systems and technology.
  • Provide help desk and technical support services, ensuring that staff are properly trained to use IT systems efficiently.
  • Contribute to the development and implementation of IT policies related to security, disaster recovery, purchasing, service provision, and others.
  • Review and help update existing IT policies as necessary to adapt to new technological advancements or regulatory changes.

Systems Security and Compliance

  • Ensure that all systems remain in compliance with the organization’s security policies and industry regulations.
  • Conduct periodic system audits, security checks, and data integrity reviews to proactively identify and address vulnerabilities.
  • Assist in managing compliance with nonprofit-specific regulations, providing support to both internal and external auditors as needed.
  • Collaborate with the IT Director to maintain and execute Disaster Recovery protocols, ensuring business continuity in case of system failures or emergencies.

Reporting

  • Generate and submit daily, monthly, and quarterly system performance and maintenance reports as needed.
  • Track and prioritize problem reports, documenting the progress and resolution of issues.
  • Provide detailed reports on project statuses, system upgrades, and troubleshooting efforts.

Systems Support and Maintenance

  • Oversee the maintenance of servers, network security systems, telecommunications infrastructure, and other critical hardware.
  • Diagnose, analyze, and resolve complex hardware issues, providing advanced repair and maintenance services for computer systems.
  • Offer technical support for escalated issues related to software, hardware, and system communications failures.
  • Coordinate with external vendors for hardware or software support when necessary.
  • Maintain and install desktop hardware such as computers, monitors, and printers, ensuring that all equipment is operational.
  • Provide after-hours technical support as needed.

Remote Office Support

  • Travel to outlying offices, as needed, to provide hands-on support and resolve any technology-related issues.

Minimum Qualifications:

  • Education: Bachelor’s degree in Information Systems or a related field with at least three years of prior experience in a Windows administrative role; OR an Associate’s degree in Information Systems with a minimum of five years of prior experience in a Windows administrative role.
  • Technical Expertise: Proficiency with Windows Active Directory, MS Office Suite, and general IT administration tasks.
  • Networking Knowledge: A solid understanding of networking principles, file sharing, and file security.
  • General Skills:
    • Strong knowledge of computer systems, office equipment, and mobile devices.
    • Experience with Office 365 and email troubleshooting and support.
    • Strong ability to troubleshoot, repair, and maintain hardware and software systems.
    • Excellent time management skills, with a focus on detail and accuracy.
    • Strong verbal, written, and proofreading skills.
    • Ability to work independently, while effectively contributing to a collaborative team environment.
    • A customer service-oriented mindset and strong ethical conduct.

Desirable Qualifications:

  • Familiarity with OneDrive, SharePoint, or similar file-sharing platforms.
  • Experience with remote access tools such as ConnectWise or TeamViewer.
  • Familiarity with video conferencing platforms like Zoom, Skype, or similar tools.
  • Prior experience managing IP-based phone systems.
  • Practical experience supporting network infrastructure and troubleshooting network protocols.
  • Knowledge of DNS, DHCP, and TCP/IP protocols.
  • Certifications: MCSE or equivalent operating systems certifications preferred.

Compensation & Benefits:

  • Minimum salary $69,280.00/year (increases based on relevant experience)
