Bay Area Legal Services is seeking to fill a full-time Legal Administrative Assistant position on their St. Petersburg Team.

This position is split between two (2) primary roles – Outreach Coor. & Legal Admin. Asst. Coordinates, arranges, and conducts educational programs and special events that support, strengthen and engage the community and develop relationships. These programs also fulfill requirements of grants assigned to the Team. Assists in explaining supportive services, programs and resources available to members of the community.

Provides support to attorney(s) by performing administrative duties including tracking and compiling case information, entering specific case information into case management system, running grant reports if needed.  Proofreading documents, modifying documents, scheduling meetings, assisting with case information. Handling client calls, logging faxes, correspondence etc. into case files and case management system as required.  Assist clients with completion of applications for review and eligibility determination for extended services.  Supports staff who are facilitating or directly providing legal services to low income clients

Illustrative Duties:

  • Initial Case management – initial data intake/application for extended services & steps required to determine eligibility for extended services.  
  • Ongoing Case support–Log incoming mail and track deadlines/calendar court dates etc., assist with scheduling translators/interpreters and prepare payment for these as necessary, Log and track client court ordered classes/deadlines, disclosures, updated financial affidavits etc.
    Assist with correspondence, phone calls, preparing and proofreading documents for submission etc.
  • Case closure & Review – Prepare closing letters and client evaluation/satisfaction surveys, copy & file surveys if returned, Complete/review closing check list prior to closing file in Legal Server, Complete LSC compliance checklist prior to official closing of file, review with & verify Team Leader check off is complete, Close briefs & files in case management system
  • Review closed cases after Team Leader review and acts as liaison with internal compliance staff for LSC requirements.
  • Grant Activity/Reporting – Submit forms to team leader/project director as needed, Gather & Supply grant data for reporting based on grant/agency requirements.
  • Community Outreach Coordination- Research new community partner relationship’s to provide outreach services for assigned grants, attend community events to build relationships and community presence for providing outreach services to ESL populations, give presentations at various community partners in accordance with grant requirements, attend required annual training in compliance with assigned grant requirements, fosters new and existing relationships with community liaisons.
  • Training other Admin Staff- training of new administrative staff and volunteer staff as needed.
  • Various other Admin support duties – copies, distribute mail, prepare outgoing mail (certified), maintain hard copy files, phones, fax etc.
     

Minimum Qualifications:

  • 3 years Admin. Asst. experience with 2 years of the 3 years of experience as Legal Admin. asst.
  • In-depth Knowledge of legal processes, documents, and terminology
  • Effective Presentation Skills
  • Basic knowledge of Microsoft Outlook
  • Intermediate knowledge of Microsoft Word, Excel, PowerPoint

Desirable Qualifications:

  • Experience with non-profit organization a plus
  • Associates Degree (AA)

Compensation/Benefits: 

  • Starting hourly rate for external applicants is $23.15/hr. (increases based on relevant experience).  
  • Reimbursement for travel expenses for work events (mileage etc.)
  • Bay Area offers a comprehensive benefit package including a 4% match for the 403b retirement plan with immediate vesting as well as Medical, Dental, Vision, Life, Disability coverage and more.
  • Bay Area also offers generous time off and work life balance with 13 paid holidays and three (3) weeks’ vacation for the 1st year of employment and a 37.5 hour work week.

This position requires successful completion of a level II background screening based on the required duties and responsibilities
