Bay Area Legal Services is seeking a full-time Intake Receptionist in its Plant City Office.

Primary duties and responsibilities are setting initial client intake appointments, receptionist duties for Branch office, and general clerical support as needed.  The front desk welcomes guests positively, direct visitors to appropriate person, answer phones, route callers.  This position also schedules/screens intake appointments via telephone and walk ins, in addition to performing a variety of clerical and administrative tasks as assigned.

Illustrative Duties: 

  • Reporting – Produce Legal Server reports as requested by Team, assist with Monthly Program Reports based on grant/agency requirements
  • LSC Compliance – Provides support for Team LSC compliance review.
  • Receptionist - Greet and welcome guests promptly upon arrival, direct visitors to the appropriate person, answer, screen and forward incoming phone calls, provide callers/guests basic and accurate information in-person and via phone/email, look up basic client information in Case Mgmt. system to assist clients as necessary. (i.e. appt. times, appt. history etc.)
  • Intake/Screening - Schedule intake appointments via telephone or walk in, maintain accurate & up to date intake appointment calendars.  Assist applicants with completing intake forms, preliminary screening of applicants for income & statutory eligibility to advise clients of potential eligibility for services. Perform basic case fact inquiries to determine emergency or exclusion categories and to schedule appointment with appropriate team. Route emergency cases immediately to the team leader assigned to emergency responsibility. Enter client intake data into case management system.
  • Perform other clerical/support duties such as typing, preparing materials for outreach, typing, filing, scanning, photocopying, correspondence, and faxing, E-filing. Mass client emails upon request. Support for PClip outreach.
  • Receive and distribute incoming mail & process outgoing mail and rotate delivery to post office. Oversight of office equipment as assigned by team leader.

Minimum Qualifications:

  • Minimum 1-year Receptionist experience with in a front office role or customer service role
  • Experience interacting with clients facing sensitive issues and maintaining professional demeanor
  • High School Diploma or Equivalent Certificate of Completion (GED) 
  • Basic knowledge of Microsoft Word & Excel, Intermediate knowledge of Microsoft Outlook

Preferred Qualifications:  

  • Experience in a legal office environment a plus
  • Bilingual in Spanish

Compensation: 

  • Starting hourly rate $17.10/hr (increases based on relevant experience)
  • Reimbursement for travel expenses (mileage etc.)
